The situation

What has happened

The Bayside Health Conference gala dinner on 16 October seats 280 guests in the Bayside Ballroom for a three-course alternate drop with a premium beverage package, an awards segment at 8:30 pm and a live band. The signed function sheet lists fourteen dietary requirements including two guests with anaphylaxis to peanuts and shellfish. At the last large dinner in the ballroom, audiovisual cabling was run across the entrance without cable ramps and the matter is still open in the WHS register. The Events Manager wants a run sheet, a kitchen and bar briefing and a completed pre-function safety check before the doors open.

Your brief. Build the run sheet from the template and the function sheet, brief the kitchen and bar on dietary, allergen and responsible service requirements, complete the pre-function safety checks including the cable ramps, and record any changes on the day so the invoice is accurate.

What to look for

Evidence guide

The run sheet must be complete, timed and owned, and must match the function sheet. The briefing must make the anaphylaxis guests impossible to miss. Look for the cable ramps being checked and the WHS register closed out, and for on-the-day changes recorded with time and requester. The student must show awareness of crowd movement and responsible service during the awards segment.
